ASHOP IS HIRING - PROJECT COORDINATOR

JOB DESCRIPTION

ASHOP is currently seeking a project coordinator. You will be responsible for maintaining the company’s general production workflow and overseeing all projects. You will use your strong organizational and planning skills to produce timelines, budgets, action plans and client presentations. As our project coordinator, you will be regularly communicating and coordinating between our clients and artists. You will need to work well under pressure and tight deadlines. As the overseer of ASHOP’s operations, you will communicate with the other department leads during team meetings to update them about ongoing productions and to aid in future planning. Your duties will include administrative tasks to support the production team, such as communication with clients, budget management, and maintenance of the company’s production calendar.


TASKS & RESPONSIBILITIES

  • Coordinate projects, from initiation to completion.

  • Organize and relay information, ensuring that the team is provided with the resources and materials needed to meet important project deadlines.

  • Facilitate communication between clients, producers and artists to ensure project needs and objectives are met.

  • Create, maintain and archive detailed project documentation.

  • Create and control project schedules.

  • Communicate with the team to optimize production effectiveness. 

  • Onsite management of assigned projects, if needed.

  • Maintain a genuine relationship with clients and partners.

  • Verify closing budget in collaboration with the Administrative Director

  • Assist and support the Director of Operations in daily tasks.

  • Help maintain a positive team spirit through collaboration.


EXPERIENCE AND SKILLS REQUIRED

  • Fluently Bilingual (French/English, spoken and written).

  • Have relevant experience in project coordination or similar position

  • Have a deep interest and understanding of the arts

  • Shows leadership, analytic and communications skills

  • Strong organizational skills, able to manage multiple ongoing projects and schedules

  • Works well under pressure and meets deadlines with ease

  • Knowledge of Google Suite, and Adobe platforms

  • Be familiar with the Mac environment

  • Possess a valid driver’s license (car an asset)

  • Possess valid Canadian passport
